How It Works

  1. Set Up Your Structure
    Enter Task Groups, Task Categories, and Tasks once. Task Groups are high-level budget sections; Categories sit under Groups; Tasks contain unit, unit price, and quantity.
  2. Select What You Need
    Double-click to toggle Task Groups, Categories, and Tasks on or off. Use “Select All” / “Deselect All” buttons for bulk selection. Quantities and totals update automatically.
  3. Create Your Budget
    Click “Create Budget”. The tool compiles selected tasks into a formatted budget sheet, grouped by Task Group with subtotals and a grand total.
  4. Export & Print
    Use “Export to Excel” to create a standalone workbook or “Export to PDF” for a client-ready PDF. Print directly from Excel if needed.
  5. Add Notes & Customize
    Fill in Company Name, Project Title, Subtitle in the header. Use the Notes section for comments, terms, or instructions.

Limitations

This Excel file relies on VBA macros for key functions (Create Budget, Export to PDF, etc.). You must enable macros to access full functionality. The file is compatible only with desktop versions of Microsoft Excel (2016 or later). It will not work in Excel Online or mobile Excel.
